Food Recruit Ltd ("we," "us," or "our") is committed to ensuring the privacy, security, and proper handling of the personal data we collect, process, and store as part of our recruitment services. This Information Retention Policy (the "Policy") outlines the guidelines and principles we follow to retain and dispose of personal information in compliance with applicable laws and regulations in the United Kingdom, including the Data Protection Act 2018 (DPA) and the General Data Protection Regulation (GDPR).
- Purpose
The purpose of this Policy is to establish a clear and consistent framework for the retention and disposal of personal data collected through our recruitment website, while ensuring compliance with legal and regulatory requirements and safeguarding the rights and interests of the data subjects.
- Scope
This Policy applies to all personal data collected, processed, and stored by Food Recruit Ltd, including but not limited to, job applicants, candidates, clients, and employees.
- Retention Periods
We retain personal data for as long as necessary to fulfil the purposes for which it was collected, including the provision of recruitment services, compliance with legal and regulatory requirements, and the protection of our legitimate business interests. The following retention periods apply to specific categories of personal data:
a) Job applicants and candidates: Personal data of job applicants and candidates, including CVs, application forms, and interview records, will be retained for a period of 3 years from the date of the last meaningful interaction, unless a longer retention period is required or permitted by law or our contractual obligations.
b) Clients: Personal data of clients, including contact information, contracts, and correspondence, will be retained for a period of 3 years from the end of the business relationship, unless a longer retention period is required or permitted by law or our contractual obligations.
c) Employees: Personal data of employees, including payroll, benefits, and performance records, will be retained for a period of 3 years from the end of employment, unless a longer retention period is required or permitted by law or our contractual obligations.
- Data Disposal
Upon the expiry of the applicable retention period or when personal data is no longer necessary for the purposes for which it was collected, we will securely dispose of the data in accordance with our data disposal procedures. These procedures ensure the permanent and irreversible deletion of personal data from our electronic systems, and the secure shredding and disposal of any physical copies.
- Data Subject Rights
Data subjects have the right to request access to, rectification or erasure of, restriction of processing, and data portability concerning their personal data, as well as the right to object to the processing of their data. To exercise any of these rights, data subjects should contact us at the email address provided in Section 8 of this Policy.
- Exceptions
We may retain personal data for longer than the specified retention periods if we have a legitimate reason to do so, such as the need to comply with a legal obligation, resolve disputes, or protect our legal rights. We will document any exceptions to our retention periods and notify the data subject, if required by law.

We will review this Policy periodically, at least once every 3 years, to ensure its continued relevance and effectiveness. We will update the Policy as necessary to reflect changes in our data retention practices, legal and regulatory requirements, or industry best practices.
